Guidelines for Financial Assistance

The WA Flying Disc Association (WAFDA) receives funds from the Department of Sport and Recreation to use for the development of flying disc sports in WA,the other main source of income for the Association is derived from it's leagues and tournaments.

The WAFDA Committee identifies ways in which these funds can be spent by setting annual and long term goals.
The Operational Plan outlines yearly tasks and development goals and the Strategic Plan is 3 year plan shaping the future direction of the Association.

In addition to funding development projects there are limited funds are allocated each year in the form of financial assistance to either WA Representative teams, Clubs or individuals in key focus areas such as High Performance, Junior development or Coach education to assist the growth of the Association and flying disc sports and foster personnel development.

Guidelines for Financial Assistance to Individuals  

Introduction

This document is to be used as a guide by the WAFDA Executive Committee when considering providing assistance to Individuals.

Individual Assistance

High performance assistance for Individuals should be restricted only to players competing in the following Australian events:

  • Australian National Championships
  • Australian Youth Nationals
  • Australian Mixed National Championships
  • Australia Youth Mixed Nationals
  • World Ultimate Club Championships (WUCC)
  • World Ultimate and Guts Championships (WUGC)
  • Senior Development Camps
  • Coaching Development Camps
  • Youth Development Camps

All members should be aware that the WAFDA has only a limited budget for representative team assistance and funding will be granted only in specific circumstances.
The WAFDA reserves the right to refuse any application should the team be unable to reasonably justify the need for the funding.

Definition of a recognised event

An Individual will be recognised by the WAFDA under the following conditions:

  • Is a current WAFDA member
  • The event is a listed, endorsed AFDA event
  • The individual is listed on current training or event roster registered on the AFDA registration system.

Type of Assistance

Assistance can be considered to be of the following:

  1. Financial assistance – direct funding to the individual to assist with uniform purchase, travel assistance or registration fees.
  2. Loans – funding assistance repayable by the individual. To be repaid in an agreed term set by the WA Representative Team and the WAFDA Executive.

Application Procedure

The procedure for considering assistance to a high performance individual may be instigated by the individual, captain, coach or AFDA representative, or the WAFDA Executive.

  • The individual will be required to make a written submission to the WAFDA Treasurer addressing the Assessment Criteria
  • Application approval shall be by majority vote WAFDA Executive Committee
  • If applicable the individual WAFDA Loan Agreement
  • If applicable the individual must sign a WAFDA Funding Agreement
  • Funding will be in the form of a cheque or electronic funds transfer to the approved individual.
  • Preference is given to a loan rather than direct financial assistance.

Assessment Criteria

The following criteria should be assessed when considering any application:

  • Individual financial situation
  • Sponsorship/Outside funding opportunities
  • Other fundraising ventures
  • Individual contribution to the WAFDA
  • Individual contribution to Ultimate
  • Individual ability or perceived team performance
  • Previous loan or funding history
  • Individual applying for Coach development assistance must outline how they plan to demonstrate their learnings to the WA Ultimate community.

Reporting

  • If requested, you must provide WAFDA with a copy of any receipts applicable to the terms of your funding.
  • Within 30 days of the event completion it is required that you write feedback (minimum 200 words) outlining the event, team result, a list of WAFDA representatives, recommendations, skills developed and any general feedback.
  • The information in this paragraph may be used by WAFDA to be included on the Association’s website, newsletter, annual report, or further assessments of loans to representative teams/clubs.
  • You must acknowledge the financial support received from WAFDA received. This may be verbal or written or include the use of the WAFDA Logo in promotion material. 

Limitations

Direct financial assistance (per individual) shall be limited to the following maximums per financial year.
The maximum overall total of $1,200 is allocated for all individual requests per financial year.

  • Australian Nationals Events - $100.00
  • International Events - $100.00
  • Senior Development Camps - $100.00
  • Youth Development Camps - $100.00
  • Coaching Camps/Professional Development - $150.00

Individual loans for Australian and International (World) events may only be applied for should no other WA Team/Club be competing.

Loans shall be limited to a maximum of $1500 for any Individual per financial year.

Notification

The application will be reviewed by the WAFDA Executive Committee and a decision will be made within two (2) weeks from receipt of application or at the next WAFDA Committee meeting (whichever occurs first).

Failure to Repay Loans

Individuals that enter into a Loan agreement and fail to repay their loan, without reasonable explanation, shall be ineligible to participate in further WAFDA events until the account is settled.

Appeals Procedure

The team may appeal against a ruling by the WAFDA Executive Committee.

  • Any appeals must be received in writing
  • Any appeal will then go to a vote by an appointed Sub-Committee
  • A Sub-Committee of the WAFDA Committee shall be convened to review the application for WA Representative team assistance
  • The Sub-Committee shall consist of the Treasurer, and one (1) other member of the WAFDA Executive Committee, and two (2) members of the WAFDA General Committee
  • Any Sub-Committee member must declare any conflicts of interest and be replaced, where possible, by a WAFDA Committee member.
  • Members of the Sub-Committee will be assigned by full vote of the WAFDA Committee

Communication and Technology Policy

Our Statement

Using the internet and electronic communication is essential for communicating with members. The WA Flying Disc Association is committed to communication being appropriate and related to Association business.
When using technology we will ensure that members’ privacy is protected, clear boundaries are maintained and bullying and harassment does not occur.

Communication Methods

Association Website:

  • Information on competitions, social events, committees, policies, constitution, rules and by-laws will be placed on our website.  
  • No offensive content or photos will be uploaded to our website, especially about social activities and events.
  • Permission will be sought from parents to upload photos of their children and care will be taken to not to provide information that identifies them.
  • An Association representative will be appointed to provide accountability and control over what goes onto the Association website and social media portals.

Social Media Portals

Facebook, Twitter and You Tube

  • Postings and uploads of videos will feature positive Association and team news, events and performances
  • Personal information about members will not be disclosed
  • No statements will be made that are misleading, false or likely to injure the reputation of another person
  • No statements will be made that might bring the Association into disrepute
  • Members and users will not engage in negative or destructive discussions or postings
  • Abusive, harassing, discriminatory or offensive statements will be not be posted by members
  • Destructive or abusive members and users will be deleted and blocked from engaging our site and social media portals

SMS and Email Communication

Representatives of the Association may use SMS and email to communicate Association business however:
  • Text communication (SMS) should be short and about Association matters
  • Email communication such as the official “wafda-announce” mailing list is used for longer communication relevant to Association matters
  • Communication about children (under 18) is made through their parents

Members' Responsibilities

All members are expected to use the internet and electronic communication appropriately, guided by the premise “think about what you want to say before you write it”. Email and social media postings are a written record of your thoughts on a matter and can be used against you later in disciplinary or legal proceedings.

Communication by the Association and its members

  • Should be restricted to Association matters
  • Must not offend, intimidate, humiliate or bully any member
  • Must not be misleading, false or injure the reputation of another person
  • Should seek to protect the privacy of members
  • Must not bring the Association into disrepute
  • Coaches and others working with children and young people (under 18) will direct communication through parents

Non-Compliance

Any member found to have sent inappropriate electronic communication, uploaded inappropriate website content or engaged in blogs or discussions that harass, offend, intimidate or humiliate members, may face disciplinary action as outlined in our member protection policy or code of conduct.

Cyber-bullying (E.g. bullying that is carried out through an internet service such as email, a chat room, discussion group, instant messaging or web pages) under certain circumstances is a criminal offence that can be reported by victims to the police. The Association can also initiate separate action where there has been a breach of our member protection policy or code of conduct.

Members publishing false or misleading comments about another person in the public domain (E.g. Facebook or Websites) may be liable for defamation.

Insurance

Insurance

All insurance policies are held by the Australian Flying Disc Association Inc (AFDA).

This includes:

  • Public Liability Insurance $20,000,000
  • Professional Indemnity Insurance
  • Personal Accident Insurance

Flying Disc Sports in Australia has a "pay for what you play" system in place, this means all your league and tournament fees collected by organisers contain an Event-Based Fee known as an EBF to cover insurance components for all events.

Claims Procedure

If the injury is serious and will require medical attention please ensure you are familiar with the claims procedure. (Note: This is applicable to all Club training as well)

Certificate of Currency

The certificate of currency is required to book fields with your local council. A list of field providers is provided to the AFDA each year. The certificate of currency and list of field providers can be found here: http://afda.com/certificate-of-currency .

Note, you must represent an affiliated Association/Club in order to use this certificate.

Branding

About  

The key goal of brand guidelines is to ensure that all parties use the WAFDA and WA Ultimate brand elements consistently. Brand guidelines provide information and tools and set the standards for using brand names, logos, typefaces and other design elements in advertisements, brochures, newsletters, packaging and online communications.
Brand standards are a set of rules and guidelines that protect the look and feel of your organization. It provides a standardised approach to creative work in order to uphold the integrity of the brand. Brand standards are far more important than the logo itself.

AGM

The Annual General Meeting (AGM) is a central part of an incorporated association's governance structure, as it holds an association accountable to its members.
It is the only association meeting specifically provided for in Associations Incorporation Act 1987 (the Act). Incorporated associations must hold an AGM once in every calendar year, within 4 months after the end of the association's financial year.
